Customer records are most valuable when anyone on the team can understand and use them. A little structure prevents repeated questions and avoidable rework.
Agree on the basics
Decide which contact, billing, and reference details are needed before a customer is added. Keep the format consistent across the team.
Connect the history
Keep quotations, invoices, credit notes, and important updates close to the customer record. That makes it easier to answer questions with the full picture in view.
Review as you go
Update records when a customer changes their details. Small corrections made during normal work are easier than a large clean-up later.
